Prepare a PDF before it reaches the printer
Use a practical PDF preflight checklist covering page size, bleed, fonts, images, color, page order and final proofing.
Confirm the final page size and bleed, embed fonts, inspect effective image resolution, use the printer's color and PDF preset, remove accidental marks, and review every exported page at high zoom before upload.

Begin with the printer's specification
A print-ready PDF is ready for one defined production workflow, not for every printer. Before exporting, collect the required trim size, bleed, safe area, color space, PDF standard, finishing instructions and maximum file size. If the supplier provides a preset or template, use it as the source of truth.
Do not assume that PDF/X-1a, PDF/X-4 or a generic high-quality preset is automatically correct. Transparency, spot colors and output profiles are handled differently across workflows.
Verify page geometry and consistency
Check the width, height and orientation of every page. Mixed page sizes may be intentional for covers or foldouts, but they can also indicate an accidental export setting. Confirm that bleed is represented in the expected page boxes and that crop marks sit outside the finished area.
For multi-file jobs, merge documents only after each source PDF passes its own check. Reopen the merged result and verify both page order and total count.
Understand PDF page boxes and their hierarchy
PDF page boxes define different areas of a page for different purposes. The MediaBox is the full page size, including bleed and crop marks. The BleedBox defines the area beyond the trim edge where ink can extend. The TrimBox is the final cut size. The CropBox is the visible area when the PDF is displayed. Printers typically read the TrimBox for final size and BleedBox for bleed specifications.
The relationship is MediaBox ⊃ BleedBox ⊃ TrimBox ⊃ CropBox. When preparing a print file, ensure your artwork extends to the BleedBox while important content stays within the TrimBox. The CropBox should match the TrimBox for printing unless you intentionally want to crop the output.
Inspect fonts, images and color
Missing fonts can change line breaks and page count. Review a font report when your layout application provides one. Inspect placed images at their effective resolution after scaling, not only at their original resolution. Confirm whether the printer expects CMYK, accepts tagged RGB, or requires named spot colors for inks, varnishes or cutting paths.

Handle transparency and flattening carefully
Transparency effects like drop shadows, blends and soft edges require flattening during PDF export. Flattening converts transparent areas to opaque pixels, which can create unexpected color shifts and moiré patterns. Use the flattening settings recommended by your printer, typically 300 PPI for high-quality print.
Avoid excessive flattening tolerance, which can create visible banding in gradients. For critical work, request a proof that shows the flattened result or use a PDF viewer that displays transparency accurately. Some printers may reject files with complex transparency if they cannot flatten them reliably.
Choose appropriate black for text and solids
Rich black (multiple ink colors combined to create a darker black) should be used for large solid areas, while 100% K (pure black) is standard for text and thin lines. A typical rich black recipe is 60% C, 40% M, 40% Y, 100% K, which provides depth without excessive ink density.
For text and hairlines, use 100% K to avoid registration issues. Rich black can cause misregistration on press, leading to colored edges around text. Confirm with your printer whether they recommend rich black for your specific job and what their maximum ink density limits are.
Respect minimum readable type and hairline rules
Printers often have minimum type size and hairline width requirements to ensure readability and prevent printing issues. Typical minimums are 6 pt for body text and 0.25 pt for hairlines, but these vary by printing method and paper stock.
Hairlines thinner than the recommended minimum may not print consistently or may disappear entirely on some presses. Small reversed type (white text on dark background) requires even larger sizes, typically 8-10 pt, to remain legible after printing.
Name spot colors and coatings consistently
When using spot colors for special inks like varnish, foil or white, use the exact naming convention specified by your printer. Common formats include Pantone names (Pantone 185 C) or custom names that match the printer's swatch library.
For coatings and dielayers, specify whether they should overprint or knock out underlying colors. A varnish applied over a rich black may appear muddy, while a white ink may need to overprint to maintain opacity.
Understand printer preflight reports
Most commercial printers run automated preflight checks on uploaded files. These reports typically verify page size, bleed, font embedding, image resolution, color space, and the presence of transparency or spot colors.
When a check fails, the report usually indicates the specific issue and may suggest corrections. Common failures include missing fonts, low-resolution images, incorrect color spaces, and insufficient bleed. Address these issues before resubmitting, as repeated failures may delay production.
The final exported PDF is the file to approve
Do not approve the layout document and assume the PDF matches it. Open the exported PDF, review every page, compare page count, zoom into complex areas and print a reduced or representative proof. Keep the approved PDF unchanged after sign-off so the uploaded production file is the same file that was reviewed.
A mock preflight of a 12-page A4 brochure
Picture a 12-page A4 brochure with a full-bleed cover heading to a commercial printer. The specification says A4 trim, 3 mm bleed, CMYK, PDF/X-4, fonts embedded. Checking geometry first: the PDF page size checker reports pages at 216 x 303 mm — 3 mm of bleed on every edge of a 210 x 297 trim — which is the expected canvas size, and all twelve pages match.
Fonts pass: the export report lists every face as embedded and subsetted. Images nearly pass: one cover photograph measures 1900 px wide placed across the full 210 mm cover, which is 1900 divided by 8.27 inches, about 230 effective PPI — below the 300 PPI the supplier asks for on close-viewed covers. The fix happens at the source: re-export the photograph at full resolution, replace the link, and re-export the PDF. Re-checking shows 3200 px across the same width, roughly 387 effective PPI, comfortably above the minimum with room for the slight scale-up the layout applies.
The final check catches a real failure: page eight carries a 0.25 pt hairline rule in a 20 percent tint, thin enough to break up on press. Thickening it to 0.5 pt and deepening the tint costs nothing visually and removes the risk. Total time: about ten minutes, and the upload proceeds without a preflight rejection.
Responding to automated preflight findings
An automated preflight report lists findings, not verdicts. Each line deserves a decision: fix at the source, confirm the finding is a false positive, or ask the printer whether the deviation is acceptable for their workflow. Missing font, image below minimum resolution, wrong page size and color space mismatches are almost always worth fixing at the source application rather than patching in the PDF.
Keep the report with the job record alongside the final approved PDF. If a printed piece is ever questioned, the report documents exactly which checks ran and passed on the file that was uploaded — which is also the strongest argument for re-running preflight after any last-minute edit, however small.

Effective resolution, checked properly
The image check that fails most often is the one done on the source file instead of the placed file. A 4000 x 2600 px photograph placed at full width on an A4 page is about 486 effective PPI. The same photograph scaled to 60 percent of page width in the layout is 810 effective PPI — the pixels did not change, the placement did. Conversely, a 1500 px image stretched across a 594 mm wide A1 poster is 64 effective PPI, no matter how sharp it looked in the folder preview.
Work the check in the direction that catches failures: multiply the placed physical width by the required PPI, and compare that pixel number against the actual file. An 11 in wide placement at 300 PPI needs 3300 px; the layout application's links panel or the exported PDF can confirm what is really there. Where a placed image falls short, the honest fixes are a smaller placement, a lower resolution agreed with the printer for viewing distance, or a better original — in that order of preference.
