What makes a PDF print-ready?

Check page boxes, bleed, fonts, effective resolution and color against your printer's requirements, with worked examples and clear tool limitations.

A print-ready PDF matches the requirements of a particular print job. Check finished dimensions, bleed where artwork reaches a trimmed edge, embedded fonts, resolution at final size and the supplier's color and PDF settings. Opening correctly, reaching 300 PPI or passing one online check does not certify a file for production.

One possible arrangement, not a required hierarchy. CropBox can coincide with other boxes; it does not define a text safety margin.

Start with the job specification, not a universal export preset. Ask the printer for finished dimensions, bleed and safety margins, page order, color profile, accepted PDF standard and binding requirements. A black-and-white manual, coated brochure and large-format poster need different checks. PDF/X helps exchange production files reliably, but does not check your spelling or establish that every image is sharp enough for the intended viewing distance.

File Preflight provides focused browser tools, not a complete professional PDF preflight engine. The page-size checker reports page dimensions; it does not certify bleed artwork, font embedding, separations, ink coverage or PDF/X conformance. Use its measurements as one part of the job, then run a production preflight profile supplied or approved by your printer.

PDF page boxes in plain words

MediaBox describes the page's overall extent. TrimBox describes the intended finished size. BleedBox describes the area used for production bleed. CropBox controls the visible or printed region in ordinary viewing workflows; it is not a safety margin for text. These boxes can overlap or be equal. There is no general rule that CropBox must sit inside TrimBox, and a PDF without explicit production boxes should not be assumed to have correctly defined trim and bleed.

Consider an A4 flyer with 3 mm bleed on each edge and no extra space for printer marks. Its finished TrimBox would be 210 × 297 mm, and its bleed extent 216 × 303 mm. MediaBox and CropBox might both match that larger area. With marks outside the bleed, MediaBox may be larger again. This is an example, not a rule for every PDF. Ask which box the supplier uses when checking dimensions.

What each PDF box failure looks like in production

Setting a BleedBox does not create bleed artwork. If a background stops at the trim line, enlarging a page box only exposes empty space. Extend the background in the source document, re-export with bleed included and inspect each edge. Conversely, extra artwork may exist without the explicit boxes a supplier expects. Both geometry and content matter.

Identify the measured box before resizing a PDF. A 216 × 303 mm overall page may be a correctly prepared A4 flyer with 3 mm bleed. Using fit-to-page to force the overall PDF onto A4 can shrink the finished design and alter its margins.

PDF/X-1a vs PDF/X-4: one honest comparison

PDF/X-1a supports a restricted print exchange workflow using CMYK, grayscale and spot colors; live transparency must be flattened. Flattening transparency is not the same as rasterizing every page or outlining all text. PDF/X-4 supports live transparency and color-managed content, including supported RGB content. Both require the font information needed to reproduce text and an output intent describing the intended printing condition.

Neither format is universally correct for every digital or offset printer. Use the version and export settings requested by your supplier, then validate the exported file with PDF/X-aware software. Renaming a PDF or choosing a compatibility level does not establish conformance. PDF/X validation still does not establish correct page order, sufficient bleed artwork or resolution suitable for your job.

Why a screen-proof PDF differs from a production PDF

A review PDF may have smaller images, comments or watermarks for convenient approval. It may also be identical to the production file; the label alone tells you nothing about technical properties. Check the actual export and name approved and production versions clearly.

An ordinary monitor preview helps find spelling, pagination and obvious layout faults. It is not reliable proof of a particular paper's color, black density, overprint behavior or finishing tolerance. Use color-managed soft proofing or request a physical proof where the cost and color sensitivity justify it.

Use this as a working sequence for your own checks, not a description of every printer's software.

  • 1. Record the job: finished size, stock, binding, bleed, safety margins and supplier preset.
  • 2. Check the source: page dimensions, single pages or spreads as requested, pagination and orientation.
  • 3. Inspect edges: extend backgrounds into bleed and keep critical text inside the requested safety margin.
  • 4. Check images at placed size: compare effective PPI with the target for the artwork and viewing distance.
  • 5. Check fonts: use licensed, embeddable fonts and inspect the export for missing glyphs. Embedded subsets can be valid.
  • 6. Check color: follow the requested profile, spot colors, ink limits and overprint settings.
  • 7. Export using accepted settings and inspect the exported file, not just the editable source.
  • 8. Run the supplier's preflight profile, review warnings and obtain proof approval before authorizing production.

Ink coverage and rich black checks: Preventing printing problems

For CMYK, total area coverage is the sum of the four ink percentages. C60 M40 Y40 K100 adds to 240%, which is below 300%, not above it. The acceptable limit depends on the printing condition, paper and supplier profile; 300% is not universal. Rich black must still meet that limit. Inspect final separations after the intended conversion, not just a source swatch.

Small black text and fine rules are usually safest as K-only black, subject to the printer's instructions, because multiple plates can reveal registration fringes. A supplier-approved rich black may suit larger solid areas. Do not use registration color as an ordinary black fill: it prints on all separations. Our browser tools do not inspect ink coverage or overprint.

The preflight order of operations

Preflight applications can report several failures in one pass, and profiles and checking order vary. For manual review, settle geometry and content before final production conversions. A late document-size change and re-export can otherwise undo earlier checks.

Keep the report with the exact submitted PDF. An error may violate a mandatory requirement; a warning may require an informed decision. Ask about any warning you cannot resolve instead of changing unrelated settings until the report looks clean.

How to respond to common preflight error messages

Missing font: inspect embedding and licensing permissions, then re-export with a permitted font. Full and subset embedding are both legitimate when required glyphs are present. Outlining is a workflow-specific fallback, not a general requirement; it removes live text benefits, so retain the editable source.

Image below target: divide pixel dimensions by placed inches. An 1800 × 1200 pixel image at 12 × 8 inches is 150 PPI; at 6 × 4 inches it is 300 PPI. Whether 150 PPI is acceptable depends on the output and viewing distance. Interpolation does not recover original detail.

RGB or transparency warning: establish whether the supplier prohibits it. A suitable PDF/X-4 workflow may accept RGB and live transparency. If CMYK-only or PDF/X-1a output is required, convert or flatten using the requested settings and inspect the appearance.

What to do when a file fails preflight

Request the failed check's name, affected page or object and expected value. For size, ask which page box was measured. For resolution, ask for the threshold and offending placed image. This turns a vague rejection into a specific correction.

Fix the source where possible, export a new version and repeat checks on that file. Merging, converting or printing to PDF does not certify production readiness and may change properties. If you cannot supply genuine bleed or higher-detail images, discuss a smaller placement, border or revised layout rather than hiding the warning.

The concrete technical checks that matter

A useful final checklist records evidence, not just a green badge. Retain the supplier specification, exported PDF version and approved exceptions. Technical acceptance and visual approval are separate decisions.

  • Geometry: finished dimensions, bleed artwork, margins, page count and order.
  • Text and images: embedded fonts, complete glyphs and effective resolution suited to the job.
  • Production: accepted color workflow, PDF standard, separations, ink limits and overprint behavior.
  • Approval: inspect the final export and retain the supplier's preflight or proof approval.

Frequently asked questions

Is CropBox the same as a safety margin?

No. CropBox controls the displayed or ordinarily printed region. A safety margin is a design inset for important content inside the finished trim; it is not a standard PDF page box.

Can a print-ready PDF contain RGB?

Yes, if the printer accepts the relevant color-managed workflow. Other workflows require CMYK, grayscale or spot colors. Follow the supplier's profile and export instructions.

Does 300 PPI make a PDF print-ready?

No. It is a common target for continuous-tone images viewed closely, not a complete quality check. Actual image detail, placed size, viewing distance and other document properties still matter.

Are embedded subset fonts acceptable?

Yes. A subset can contain every glyph used in the document and prevent substitution. Resolve any font licensing restrictions rather than assuming every font can be embedded or that subsets are invalid.

Is 3 mm the same as 1/8 inch of bleed?

Not exactly: 1/8 inch is 3.175 mm. Both are common specifications, but enter the amount the supplier requests. Bleed and safety margins may differ by product and binding.

Can File Preflight certify a PDF for a commercial press?
